Best personal CRM apps in 2026, compared
The best personal CRM apps of 2026 compared on price, platforms, what they sync (LinkedIn, email, WhatsApp, iMessage) and privacy. Prices checked 20 October 2026.
The short answer
- Dex is the most complete personal CRM for networking: LinkedIn, email, calendar, WhatsApp and iMessage sync and apps on every platform, from $12 a month billed yearly ($20 month to month), with no free plan.
- Mesh (the app formerly called Clay) is the best free personal CRM: up to 1,000 contacts with reconnect reminders and birthday alerts, though it asks for a card at sign-up.
- Monica is the private, open-source choice for people who will type their own notes: free to self-host, or $9 a month hosted.
- Tera Chat is the pick for Mac users whose relationships live in iMessage, WhatsApp, Telegram and Instagram: it works from those conversations and keeps them on the Mac, but has no iPhone app and no LinkedIn or email.
- Several apps older lists still recommend have moved on: Covve now sells lead capture, Cloze targets real-estate brokerages, and UpHabit's site was down when we checked.
The best personal CRM in 2026 depends on where your relationships live. Dex is the most complete for networking (LinkedIn, email, calendar, WhatsApp and iMessage sync, apps on every platform) from $12 a month billed yearly. Mesh, formerly Clay, is the best free option, for up to 1,000 contacts. Monica is the private, open-source pick if you’ll type notes yourself, and Tera Chat suits Mac users whose relationships run through iMessage, WhatsApp, Telegram and Instagram rather than email.
We checked every price and integration below on each company’s own pricing and help pages on 20 October 2026. Tera Chat is our app; we’ve tried to be fair, and we say where others are the better pick. Several apps that older “best of” lists still recommend are no longer personal CRMs, so the list is short on purpose; the end of the article explains what we left out and why.
Which personal CRM should you pick?
Start from how you keep in touch, not from a feature list. The right tool is the one whose data comes from the places you already talk to people.
| If you… | Pick | Why |
|---|---|---|
| Network on LinkedIn and email and want everything in one place | Dex | The deepest LinkedIn sync, plus email, calendar, WhatsApp and iMessage |
| Want a capable free plan on any device | Mesh | Free for up to 1,000 contacts, with reminders and life updates |
| Want privacy and control, and don’t mind typing | Monica | Open source, self-hostable, never sells data |
| Keep up with people mostly over iMessage, WhatsApp, Telegram or Instagram on a Mac | Tera Chat | Works from the conversations themselves and keeps them on your Mac |
| Are actually a team tracking clients or partners | folk | Shared contacts, pipelines and WhatsApp logging for teams |

What does a personal CRM cost over a year?
Monthly prices hide the real difference, so here is a year of each, worked out from the list prices above (US dollars, before tax, October 2026):
| App | Cheapest way to use it | Paid plan for a year, billed yearly | Same plan paid monthly for a year |
|---|---|---|---|
| Dex | No free option | $144 (Premium) | $240 |
| Mesh | $0 (up to 1,000 contacts) | $120 (Pro) | $240 |
| Monica | $0 if you self-host (you pay for the server) | $90 (hosted) | $108 |
| Tera Chat | $0 (app and inbox; AI with your own account, which your AI provider bills) | $99.99 (AI Plus, optional) | $119.88 |
| folk | No free plan listed (14-day trial) | $288 per member (Standard) | $360 per member |
Questions to ask before you choose
Five questions sort most people into the right app in a minute:
- Where do I actually talk to the people I want to keep up with? LinkedIn and email point to Dex; group chats and DMs point to Tera Chat on a Mac; a mix with little chat points to Mesh.
- Will I type notes every week? If not, rule out Monica and spreadsheets.
- Which devices do I need it on? Dex and Mesh run everywhere, including Android. Tera Chat is Mac only. Monica runs in a browser.
- Am I comfortable with my contacts’ details in someone else’s cloud, or enriched from public sources? If not, look at Monica (self-hosted) or Tera Chat (messages stay on your Mac).
- Is it just me? If colleagues need the same contacts, folk is built for that and the others mostly aren’t.
What changed in personal CRMs in 2025 and 2026?
The category has thinned out. Several apps that were sold to individuals now sell to businesses, and lists written in 2024 haven’t caught up:
- Clay became Mesh. Automattic, the company behind WordPress.com, acquired Clay in June 2025. It was renamed Mesh on 25 March 2026 and launched an Android app on 12 August 2026, according to Mesh’s changelog. It has a free plan for up to 1,000 contacts. Details in Clay is now Mesh.
- Covve is now a lead-capture tool. Its pricing page sells business-card and QR scanning per seat ($12 a month or $119 a year for Essential) and no longer describes itself as a personal CRM.
- Cloze sells to real-estate brokerages. Its main site is aimed at brokerages. It still has a free plan and Cloze Pro for individuals ($17 a month billed yearly, $19.99 monthly), but the product is built around deals and clients.
- Monica is being rebuilt. Its site says version 3 is coming “before the end of 2026”, rebuilt from scratch, with native apps after that.
- UpHabit and Garden look dormant. uphabit.com returned an error (HTTP 503) when we checked on 20 October 2026. Garden’s App Store listing was last updated in June 2020.
Dex: the most complete, priced for networking
Dex pulls contacts from “15+ sources”, by its own count, and turns them into one timeline of meetings, emails and messages. It’s the one to beat if your relationships include a lot of professional contacts.
What it costs. Premium is $12 a month billed yearly, $16 quarterly or $20 monthly, and includes LinkedIn sync for up to 2,500 connections, 10 research credits a month, email and calendar integrations, and “WhatsApp and Messaging sync”. Professional ($20, $27 or $34) raises LinkedIn to 9,000 connections and adds voice mode, Outlook, several email accounts and API access. Team is $40 per user a month. The 6-day trial needs a card, and there’s no free plan.
What it reads. WhatsApp connects by QR code and syncs daily, importing contacts from one-to-one chats and groups of fewer than five and showing your most recent message on each profile. iMessage syncs every hour from the Dex Mac app (in beta). Instagram adds contacts and logs recent DMs, and LinkedIn notifies you when connections change roles. Telegram and Signal aren’t among its listed integrations.
- Best for: people whose network spans LinkedIn, email and messaging, on any device.
- Not for: budgets that want a free tier, or people who mostly keep up with friends over text. If that’s you, see Dex alternatives.
Mesh: the best free personal CRM
Mesh’s Personal plan is free for up to 1,000 contacts and covers search, groups, reconnect reminders and birthday notifications. It asks for a credit card at sign-up, which it says keeps out spam accounts. Pro ($10 a month billed yearly, $20 monthly, with a 14-day trial) removes the contact limit and adds CSV import.
Mesh’s reconnect reminders count from your last real interaction through connected email, calendar, calls and messages, so texting someone early pushes the next reminder back. Its iMessage integration runs from the Mac app downloaded from Mesh’s site (not the App Store build), needs Full Disk Access and Contacts access, and by Mesh’s own account doesn’t import the content of your messages. It also enriches contacts with public “life updates”: job changes, location changes and news mentions.
- Best for: a free, polished contact hub on every platform, including Android.
- Not for: people who don’t want public data attached to friends’ profiles, or who want the CRM to understand what was said in a conversation.
Monica: private, open source, manual
Monica is a relationship journal: notes, important dates, activities and reminders such as “ask how the interview went”. It doesn’t connect to email or any messaging app, so everything is entered by you or imported from vCard or CSV files.
What you get in return is the clearest privacy promise in the category: data is never sold, never used for advertising and never used to train a model, and you can host the open-source code yourself for free. Hosted Monica is $9 a month or $90 a year, with a 30-day trial and no card. The current version runs in a browser, including on phones; native apps are planned after the version 3 rebuild.
Self-hosting it. The code is on GitHub under the AGPL-3.0 licence (about 25,500 stars as of 20 October 2026), and there’s an official Monica image on Docker Hub. Monica charges nothing for the self-hosted software; you pay for the server and keep it running. Check versions before you install: the latest stable release on GitHub is 4.1.2 from May 2024 and the main branch is labelled a beta in development, while monicahq.com says a rebuilt “v3” is coming before the end of 2026.
- Best for: people who like writing things down and want full control.
- Not for: anyone who wants the app to notice things on its own.
Tera Chat: a personal CRM built on your chats (Mac)
Tera Chat is a free Mac app that brings iMessage, WhatsApp, Telegram, Instagram and Tinder into one inbox and drafts replies in your own texting style. It’s an inbox first, but its relationship features do the job of a personal CRM without any data entry: every contact from every app in one list with a relationship health score, platform and when you last talked; missed cues (questions you never answered, celebrations you missed); fading chats flagged before they go cold; life events such as birthdays, new jobs and moves caught from your chats, one click to Calendar; and a weekly digest of who to message.
Your messages, contacts and relationship stats stay on your Mac and are never uploaded to a Tera Chat server. The app and inbox are free; AI features (replies in your style, summaries, life events, the digest) use your ChatGPT account or a Claude or Grok API key at no charge from Tera Chat, or a Tera Chat AI plan from $9.99 a month. Reading iMessage needs Full Disk Access, explained in our Full Disk Access guide.
- Best for: Mac users whose friendships and family life run through chat apps rather than email.
- Not for: anyone without an Apple silicon Mac on macOS 15 or later (there’s no iPhone, Windows or Android version), or anyone who needs LinkedIn, email or professional enrichment. Dex and Mesh are better at those. A friend you only email or meet in person won’t have much of a profile, because Tera Chat learns from your conversations.
folk: if you’re actually a team
folk is a team CRM for sales, partnerships and agencies that individuals sometimes try as a personal CRM. Its Standard plan ($24 per member a month billed yearly, $30 monthly) includes email, calendar and WhatsApp sync and a LinkedIn extension; there’s a 14-day trial with no card. WhatsApp logging covers one-to-one chats in real time, and on Standard you see up to 30 interactions per contact going back three years.
- Best for: a small team sharing contacts and follow-ups.
- Not for: keeping up with friends. You’d be paying per seat for pipelines you don’t need.
What about simple keep-in-touch apps?
If all you want is a reminder to call your sister every two weeks, a full personal CRM is overkill. Free apps such as CatchUp, or Apple’s own Reminders with a repeating schedule, do that job. They don’t know whether you’ve already talked, so expect some redundant nudges. We compare them in keep-in-touch reminder apps for iPhone and Mac.
Left out on purpose
These show up in older lists. We checked each on 20 October 2026 and left them out of the comparison:
| App | Why it’s not in the comparison |
|---|---|
| Clay | Now Mesh (same company, new name) |
| Covve | Now a business-card and lead-capture tool sold per seat |
| Cloze | Now built for real-estate brokerages and sales teams |
| UpHabit | Website returned HTTP 503 when we checked |
| Garden | App Store listing last updated June 2020 |
| Notion or spreadsheet templates | Not an app: fine if you’ll update it by hand, but it can’t tell when you last talked |
How we compared
We read each product’s own pricing page, integration pages and help articles on 20 October 2026 and recorded prices exactly as listed, in US dollars before tax. We didn’t install or test competing apps, so the “messaging sources” column describes what each company documents, not what we measured. Where a company’s pages were vague (for example, what Mesh’s WhatsApp integration stores), we say so rather than guess. For a closer look at chat sync specifically, see which personal CRMs connect to WhatsApp and iMessage.
The verdict
Dex is the best personal CRM if you’re willing to pay and much of your network is professional. Mesh is the best free one. Monica is the best for privacy if you’re happy to type. If your relationships live in your Mac’s chat apps and you’d rather the tool notice things for you, try Tera Chat; and if the people you’re trying to keep up with are friends rather than contacts, our guide to personal CRMs for friends goes further.
Frequently asked questions
What is the best free personal CRM?
Mesh's Personal plan is the most capable free option: up to 1,000 contacts with reminders, birthdays and imports from email, calendar and iMessage. It requires a credit card at sign-up. Monica is free if you host it yourself, and Tera Chat's app is free on a Mac.
Is Dex worth paying for?
If LinkedIn and email are where your relationships live, yes: nothing else we checked matches its ongoing LinkedIn sync with role-change alerts. If you mostly keep up with friends over text, you'd be paying for features you won't use.
What happened to Clay personal CRM?
Clay was acquired by Automattic in June 2025 and renamed Mesh on 25 March 2026. The old clay.earth address now redirects to me.sh, and the free plan for up to 1,000 contacts still exists.
Do personal CRMs work on Android?
Dex and Mesh both have Android apps (Mesh's launched in August 2026). Monica runs in a phone's web browser. Tera Chat doesn't: it's a Mac-only app.
Can I self-host Monica with Docker?
Yes. Monica's code is open source under the AGPL-3.0 licence on GitHub, and there's an official Monica image on Docker Hub. Monica charges nothing for self-hosting; you pay for and maintain the server.
Is a Notion or spreadsheet personal CRM good enough?
It can be, if you'll update it by hand every week. The weak point is upkeep: a template doesn't know when you last talked to someone, so it only stays useful as long as you keep logging.
